- Greet and welcome visitors professionally, ensuring a positive first impression.
- Manage daily front desk operations for smooth and efficient functioning.
- Handle incoming calls and emails, directing queries appropriately.
- Log, distribute, and track incoming mail and correspondence accurately.
- Coordinate meeting preparations, including scheduling and room setup.
- Perform general administrative tasks: filing, calendar management, record keeping.
- Maintain a tidy and welcoming reception area.
- Build and maintain positive relationships with colleagues, stakeholders, and external service providers.
- Keep the Visitor Management System updated.
- Support finance-related tasks as required.
- Assist in coordinating travel arrangements for staff.
- Provide logistical and administrative support for events, courses, and training sessions.
- Undertake any other administrative duties assigned by management.
- Winter (Mid September - Mid July): Shifts from 07:30 - 16:30 and 08:30 - 17:30
- Summer (Mid July - Mid September): Shifts from 07:30 - 13:30 and 08:30 - 14:30
- Excellent written and verbal communication skills in both the Maltese & English languages.
- Must be well-versed in Microsoft Office tools.
- Must have either an MQF Level 4 certification in Administration or Secretarial Duties with at least 2 years of relevant experience, or a school leaving certificate with a minimum of 5 years of relevant work experience.
