Job DescriptionOur client is a government agency working to prevent money laundering and terrorism financing in Malta. They are currently seeking to recruit a Front Office Administrator to join their team.Key Responsibilities:
  • Greeting and welcoming visitors with professionalism and a positive attitude, ensuring an excellent first impression of the agency.
  • Coordinating the day-to-day operations of the front desk to ensure smooth and efficient functioning.
  • Logging, distributing and tracking incoming mail and correspondence promptly and accurately.
  • Handling incoming calls and emails, addressing queries or directing them to the appropriate teams or individuals.
  • Carrying out general administrative tasks such as filing, calendar management, arranging meetings, and maintaining accurate records.
  • Ensuring the reception area remains welcoming, tidy and aligned with the agency's standards.
  • Managing and keeping the Visitor Management System up to date.
  • Providing support with finance-related tasks as required.
  • Assisting in coordinating travel arrangements for staff members.
  • Providing logistical and administrative support for the agency's events, courses and training sessions.
Ideal Candidate Profile:
  • An MQF Level 4 qualification, preferably in Administration or Secretarial Duties, along with a minimum of 2 years of relevant work experience OR
  • A school leaving certificate, along with a minimum of 5 years of relevant work experience.
  • Strong proficiency in Microsoft Office and other office automation tools.
  • Excellent organisational skills and a keen eye for detail.
  • Excellent communication skills in both Maltese and English.
  • Ability to maintain consistent service standards across a range of administrative and visitor-facing activities.
