- Coordinating the day-to-day operations of the front desk to ensure smooth and efficient functioning.
- Logging, distributing and tracking incoming mail and correspondence promptly and accurately.
- Handling incoming calls and emails, addressing queries or directing them to the appropriate teams or individuals.
- Carrying out general administrative tasks such as filing, calendar management, arranging meetings, and maintaining accurate records.
- Ensuring the reception area remains welcoming, tidy and aligned with the agency's standards.
- Managing and keeping the Visitor Management System up to date.
- Providing support with finance-related tasks as required.
- Assisting in coordinating travel arrangements for staff members.
- Providing logistical and administrative support for the agency's events, courses and training sessions.
- An MQF Level 4 qualification, preferably in Administration or Secretarial Duties, along with a minimum of 2 years of relevant work experience OR
- A school leaving certificate, along with a minimum of 5 years of relevant work experience.
- Strong proficiency in Microsoft Office and other office automation tools.
- Excellent organisational skills and a keen eye for detail.
- Excellent communication skills in both Maltese and English.
- Ability to maintain consistent service standards across a range of administrative and visitor-facing activities.
