The selected candidate will be providing Administrative & secretarial services.We are looking for a full-time, on-site Administrative Secretary who will provide essential office support while also managing front desk duties by welcoming visitors and clients. The office is currently located in Sliema, but will be relocating to Birkirkara in the coming weeks. The role includes basic tasks such as reviewing financial paperwork and assisting with day-to-day office administration. Strong communication skills in both Maltese and English, along with a professional and well-organised approach, are essential for this position. Main Responsibilities: - Greeting visitors and answering phone calls - Managing reception duties and keeping the area tidy - Handling incoming and outgoing mail and courier services - Reviewing financial statements - Casting and cross-casting financial statements - Reviewing documents and chasing for signatures - Assisting with basic admin tasks like filing, printing, and data entry - Communicating with couriers and ensuring deliveries are handled properly - Supporting the team with any day-to-day office tasks Other duties may be assigned from time to time. Requirements: - Fluent in Maltese and English, both spoken and written - Well-mannered and professional in person and on the phone - Good communication and people skills - Organised and able to manage time and tasks well - Basic knowledge of Microsoft Office (Word, Excel, Outlook) - Able to work on their own and as part of a team - Previous experience in a similar office or reception role is an advantageProfilesCompetencies
  • Enter and lay out documents. Forward and file documents
  • Welcome people and identify their demands
  • Receive and guide customers, suppliers and visitors. Take messages and make appointments
  • Prepare and follow-up (update, close...) professional files (customer files, accounts receivable...)
  • Follow-up and check execution of maintenance contracts
  • Create administrative dossiers. Check data, updates, returns to sender or reminders
  • Copy documents
  • Organise transport and delivery of products to customers
  • Take telephone calls. Pass on calls to the desired interlocutors. Take messages
