OFFICE MANAGER for Construction CompanyKey Responsibilities: Manage and coordinate daily office operations Act as a liaison between the Malta office and head office as well as project sites across the EU Organize schedules, meetings, and travel arrangements for management and staff Maintain office systems, records, and databases Support HR functions including onboarding, contracts, and employee documentation Handle correspondence, phone calls, and general inquiries in Turkish and English Ensure smooth communication between departments and external partners Requirements: Proficiency in Turkish and English (both written and spoken) is mandatory Proven experience in office management or a similar administrative role Strong organizational and multitasking abilities Excellent communication and interpersonal skills Familiarity with construction industry operations is an advantage Proficient in MS Office and general IT literacy Benefits: Free accommodation provided in Malta Opportunity to work in an international environment with projects across the EU Competitive salary package based on experienceProfilesIf multiple Education and Language Profiles are defined, please note that you must fit at least one of them, but not necessarily all.PROFILE 1LanguageReadingSpeakingUnderstandingWritingTURKISHENGLISHISCED Level: Short-cycle tertiary education - Level (5)Competencies
  • Check actions performed; make recommendations
  • Coordinate department activities. Analyse monitoring instruments and make suggestions for improvement
  • Coordinate department activities and support human resources (personnel management).
  • Explaining activity (giving instructions, demonstrating, ...). Coordinating interaction within the group.
  • Coordinate and organise flows of information for functioning of department or organisation (directives, meetings...)
  • Organise supply of equipment and materials, location of machines and storage space on construction site
  • Determine technical, financial and human needs, starting from the project. Organising the works
  • Determine supplementary work, presenting it to client for inclusion into the contract
  • Draw up/recommend projects, plans, programmes for modifications and maintenance (planning, technical studies...)
  • Present construction site file to the foreman. Give technical advice about materials and applications
  • Analyse construction (building) file/dossier (architect's dossier, plans, specifications, tender...)
  • Check conformity of welding work, constructions and assemblies
