- Manage the onboarding process for new clients, including company incorporations and the takeover of existing structures;
- Act as the main point of contact for clients during the onboarding stage, ensuring a smooth and professional client experience;
- Coordinate with the Compliance Team to collect, review, and verify due diligence documentation in line with Know-Your-Client (KYC) and AML requirements;
- Prepare incorporation documents for submission to the Malta Business Registry (MBR);
- Ensure all onboarding documentation and records are accurately maintained within internal systems and databases;
- Support the preparation of incorporation packs and related documentation;
- Monitor onboarding timelines to ensure efficient turnaround and adherence to internal service level expectations;
- Identify and escalate any risks or issues arising during onboarding to the Onboarding Team Manager;
- Maintain up-to-date knowledge of regulatory requirements, particularly under the Companies Act (Chapter 386 of the Laws of Malta) and applicable AML frameworks;
- Collaborate with internal teams and external service providers (e.g., lawyers, accountants, auditors) to ensure a coordinated onboarding process;
- Facilitate a smooth handover of fully onboarded clients to the Ongoing Corporate Team.
- Minimum of 2 years experience within corporate services, legal, compliance, or financial services, preferably in an onboarding or client acceptance role;
- Strong understanding of KYC, AML, and regulatory requirements in Malta;
- Familiarity with company incorporations and Malta Business Registry procedures;
- Excellent organisational skills with strong attention to detail;
- Ability to manage multiple onboarding cases simultaneously and meet tight deadlines;
- Strong communication and interpersonal skills;
- Proactive mindset with the ability to identify and resolve issues efficiently;
- Ability to work collaboratively across teams, particularly with Compliance and Business Development functions.
