At Skivori, the Personal Assistant to the CEO is a trusted right hand, problem-solver, and extension of the CEO — someone who thrives in a fast-paced, startup environment where every day is different. You’ll support both the personal and professional side of the CEO’s life, helping to maximize focus, reduce friction, and move the company forward.From managing calendars and handling sensitive communications, to taking notes, writing up research, and helping organize the chaos — your role is mission-critical. You’ll also keep the office running smoothly, plan internal events, and help create a vibrant team culture.🧠 Personal Assistance - Direct Support to the CEO:
  • Manage the CEO’s day-to-day schedule, high-level meetings, travel plans, and spontaneous commitments with precision, flexibility, and forward-thinking.
  • Coordinate both professional and personal tasks — from investor calls and strategic planning sessions to dinner reservations, apartment maintenance, and family logistics.
  • Be a trusted right hand in all areas of the CEO’s life — supporting them so they can focus on leading the company.
  • Sit in on meetings, take sharp, actionable notes, follow up on next steps, and help keep priorities aligned across departments.
  • Conduct light research, write summaries or briefs, draft communications or ghostwrite when needed — you’ll help bring clarity and polish to key messaging.
  • Screen and manage incoming communications with discretion and maturity — you’ll be the buffer and filter between the CEO and the world.
  • Be highly available and adaptable — this is not a 9–5 role. The CEO’s day doesn’t follow a clock, and you’ll be someone who thrives on flexibility, ownership, and momentum.
  • Think two steps ahead — anticipating needs, solving problems before they happen, and always keeping the CEO’s energy focused on what matters most.
🏢 Office & Team Operations:
  • Manage daily administrative tasks, including answering phone calls, responding to emails, and handling correspondence.
  • Maintain office supplies, equipment, and inventory levels, and coordinate procurement and maintenance as needed.
  • Ensure the cleanliness, safety, and functionality of the office space, including common areas, meeting rooms, and kitchen facilities.
  • Provide administrative support to executives, managers, and team members, including scheduling meetings, making travel arrangements, and preparing documents and presentations.
  • Assist with HR-related tasks, such as onboarding new employees, maintaining personnel records, and organising company events and meetings.
  • Attending meetings, taking and circulating meeting agenda and minutes accordingly.
  • Ensure the office is a clean, welcoming, and productive space.
  • Manage supplies, equipment, and facility vendors.
  • Support team members with admin requests, meeting setups, and travel.
  • Help onboard new hires and organize internal events, team lunches, or off-sites.
🎉 Event & Culture Coordination:
  • Plan, coordinate, and execute various corporate events, including meetings, conferences, workshops, and social gatherings.
  • Manage all aspects of event logistics, including venue selection, catering, audiovisual setup, and transportation.
  • Create event timelines, schedules, and budgets, and ensure that events are delivered on time and within budget.
  • Plan and manage small team events, CEO-hosted meetings, and social gatherings.
  • Coordinate logistics, vendors, timelines, and budgets.
  • Keep things organized, on-brand, and meaningful — whether it’s a team dinner or a strategy retreat.
Desired Qualifications - What We’re Looking For:
  • Proven experience as a Personal Assistant, Office Manager, or in a similar administrative role, preferably supporting senior executives.
  • Proactive and self-motivated with the ability to work independently and collaboratively.
  • A positive attitude, resourcefulness, and a problem-solving mindset.
  • Availability to occasionally support after-hours events or urgent matters.
  • Proven experience as a Personal or Executive Assistant — bonus if you’ve worked with founders or execs in a startup.
  • Outstanding communication skills — you’re clear, concise, and can write like a pro.
  • Highly organized, with great attention to detail and time management.
  • Smart, proactive, and able to figure things out — even if you’ve never done it before.
  • Able to handle sensitive information with discretion and good judgment.
  • Confident using tools like Google Workspace, Notion, Slack, and calendar/travel apps.
  • Curious, resourceful, and always a step ahead.
  • Comfortable with occasional flexibility in hours when things heat up.
  • Warm, personable, and fun to work with — culture is big for us.
  • Bachelor's degree in Business Administration, Management, or a related field is preferred.
