We are recruiting a Personal Assistant to the CEO for a leading healthcare organisation with over 25 years of experience, renowned for innovation, advanced technology, and quality patient care.This is a high-impact role suited to an organised, confident, and proactive individual who thrives in a fast-paced, senior-level environment.What is expected of you?Manage the CEO’s office, including diary management, correspondence, office supplies, and general upkeep.Provide high-level administrative and secretarial support to the CEO and senior management team.Coordinate meetings, conference calls, travel, and visa arrangements; attend meetings and take minutes when required.Act as a key liaison between the CEO and internal/external stakeholders, handling communications with professionalism and discretion.Maintain accurate and up-to-date records, including contracts, insurance policies, and service agreements, ensuring timely renewals.Support procurement and authorised financial processes, maintaining records and liaising with the Finance team.Coordinate and oversee duties and leave schedules of the Estate Facilitator.Handle confidential documentation securely, maintaining organised digital and physical filing systems.Liaise with directors, shareholders, auditors, and banks for signatures, documentation, and administrative requirements.Assist with event coordination, including corporate gifts and donations.Prepare reports, presentations, and official documentation as required.Carry out general PA and secretarial duties in line with the evolving needs of the CEO and the organisation.What are you expected to bring?A friendly, smart, confident, and reliable personality with excellent written and verbal communication skills.Advanced level of English, particularly in professional and business writing.Fluency in Maltese.High level of integrity with the ability to maintain strict confidentiality at all times.Strong organisational and time-management skills with excellent attention to detail.Flexibility and adaptability to manage changing priorities in a demanding environment.Excellent secretarial skills with intermediate to advanced proficiency in MS Word, Excel, PowerPoint, and Outlook.2–3 years’ experience in a senior PA, secretarial, or high-pressure administrative role supporting top-level management.A proactive, solution-oriented mindset with clear and level-headed thinking.Experience in preparing contracts is considered an asset.What’s in it for you?Internal training programmes and ongoing skill development initiativesSupport for professional training and career growthEmployee referral bonus schemeComplimentary daily lunchStaff and family discounts on hospital services and feesDiscounts on products and services from group subsidiariesState-of-the-art equipment and modern technologyA positive, collaborative work culture within a respected healthcare organisation
