- Provide comprehensive administrative support to ensure the effective day-to-day operation and continuous improvement of the Company Secretariat function.
- Liaise with the Malta Stock Exchange on matters related to the Company's shares, including invoice handling, share transfers, donations, and the preparation and submission of required documentation.
- Manage queries and correspondence from shareholders, lawyers, and notaries, ensuring accurate maintenance of statutory records and shareholder registers.
- Assist in the preparation and execution of dividend and interest distributions, including issuing advice notices to shareholders.
- Support the organisation and coordination of Board meetings, Directors' requirements, and administrative preparations relating to the Annual General Meeting.
- Attend meetings and produce accurate, timely, and professionally presented minutes.
- Monitor and prioritise multiple assignments and statutory deadlines, ensuring all deliverables remain on track through proactive follow-up.
- Provide documentation and administrative support to the Company Lawyer/s, including debtor follow-ups and preparation of related documents, in line with instructions received.
- A minimum of A' Level standard of education or a Diploma in a relevant field.
- A professional, approachable demeanour, supported by strong verbal and written communication skills.
- Full IT literacy, with the ability to work efficiently using standard office applications and systems.
- Ability to work independently while contributing effectively within a team environment.
- Strong organisational and analytical skills, with a proactive, solutions-oriented approach.
