Our client is looking to onboard an Office Administrator to assist with the day-to-day operations of the office, coordinating facilities, and supporting workplace logistics.Responsibilities
  • Oversee daily office and facilities operations to ensure smooth and efficient functioning
  • Manage relationships with vendors, contractors, and service providers, including cleaning and maintenance teams
  • Maintain a safe, functional, and welcoming office environment
  • Coordinate office logistics, including meeting room scheduling, supplies management, and workspace organization
  • Support office renovations and contribute to workspace planning initiatives as needed
  • Process and manage facilities-related invoices in collaboration with the Accounts department
  • Ensure compliance with health and safety regulations
  • Assist the administrative team with events, office activities, internal communications, and daily operational requirements
  • Collaborate closely with the CEO and HR to enhance the overall workplace experience
Requirements
  • Proven experience in facilities management, office management, or workplace operations
  • Fluency in both Maltese and English is required
  • Strong organizational and time-management skills
  • Ability to manage multiple vendors, priorities, and tasks simultaneously
  • Proactive mindset with the ability to remain calm and solution-oriented when handling unexpected issues
  • Flexibility to adapt working hours when necessary
