- Source and purchase tools, spare parts, and maintenance supplies for Engineering and Property Operations.
- Liaise with approved vendors and negotiate pricing to achieve cost efficiency without compromising quality
- Ensure all purchases comply with Hilton brand standards and sustainability guidelines.
- Supporting the procurement department, particularly replacing the Purchasing Manager for the day-to-day hotel operations, Receiving Administrator or store personnel when needed.
- Maintain adequate stock for engineering consumables and critical spares.
- Implement FIFO (First-In-First-Out) and proper storage practices to prevent damage or obsolescence.
- Vendor Coordination & Documentation:
- Build strong relationships with suppliers for timely deliveries and quality assurance.
- Prepare and process purchase orders, delivery notes, and invoices in line with company policies.
- Maintain updated supplier records and price lists.
- Adhere to Hilton procurement policies and local legal requirements.
- Support audits by providing accurate documentation and inventory records.
- Strong knowledge of engineering materials and maintenance supplies.
- Excellent organizational and time-management skills.
- Proficiency in inventory management systems and MS Office.
- Negotiation and vendor management skills.
- Attention to detail and ability to work under pressure.
- Previous experience in purchasing or stores management, preferably in hospitality or engineering sectors.
- Familiarity with hotel maintenance operations and technical terminology.
- Knowledge of procurement systems (with a preference of Materials Control) is an advantage.
- Integrity and adherence to compliance standards.
- Collaborative team player with strong communication skills.
- Proactive approach to problem-solving and cost optimisation.
