About FIM Property Investment LtdFIM Property Investment Ltd is an office management company in the heart of St Julian's. We are expanding our team and looking for a dedicated and detail-oriented Administration Assistant to support our Administration operations.About the JobThis role involves a mix of facilities coordination, procurement, tenant coordination, and general administrative duties. If you enjoy variety in your work and working in a fast-paced environment, this could be the perfect fit.Duties and Responsibilities:
  • Assist with daily office operations and administrative tasks.
  • Manage incoming calls, emails, and tenant inquiries in a timely manner.
  • Create, update, and maintain company records with new files and information.
  • Organise paperwork according to an efficient filing system, both physical and digital.
  • Use Microsoft Office tools to organise data and prepare basic reports.
  • Communicate effectively with internal teams and clients in both Maltese and English.
  • Receive and register queries and complaints raised by tenants in a timely and efficient manner.
  • Liaise any operational faults to the relevant in-house team leader.
  • Assist in organising and retrieve any documentation from tenants.
  • Coordination of the billing on due dates as per agreements.
  • Support and provide your feedback during internal team meetings.
  • Obtain quotations and prepare Purchase Orders in line with Policy.
  • Ensure timely receipt of payments.
  • Assist in general office duties as required.
Qualifications and skills:
  • Basic proficiency in spoken and written Maltese and English
  • Knowledge of Microsoft Office - Outlook, Word and Excel
  • Excellent organisational and time-management skills
  • Strong attention to detail and ability to multitask
  • Good team player with excellent collaboration skills, able to contribute effectively and supportively within a team.
