Corporate Services Officer - Onboarding Team

- Handle the onboarding process for new clients, including company incorporations and the takeover of existing structures;
- Act as a point of contact for clients during the onboarding stage, ensuring a professional and responsive client experience;
- Coordinate with the Compliance Team to collect, review, and verify due diligence documentation in line with Know-Your-Client (KYC) and AML requirements;
- Prepare incorporation documents for submission to the Malta Business Registry (MBR);
- Ensure all onboarding documentation and records are accurately maintained within internal systems and databases;
- Support the preparation of incorporation packs and related documentation;
- Monitor onboarding timelines and assist in ensuring efficient turnaround in line with internal service level expectations;
- Escalate any risks or issues arising during onboarding to the Onboarding Team Manager;
- Maintain and develop knowledge of regulatory requirements, particularly under the Companies Act (Chapter 386 of the Laws of Malta) and applicable AML frameworks;
- Collaborate with internal teams and external service providers (e.g., lawyers, accountants, auditors) to ensure a coordinated onboarding process;
- Facilitate a smooth handover of fully onboarded clients to the Ongoing Corporate Team.
- Minimum of 1 year experience within corporate services, legal, compliance, financial services, or a related field;
- A basic understanding of KYC, AML, and regulatory requirements (training will be provided);
- Exposure to company incorporations or the Malta Business Registry procedures would be considered an asset;
- Strong organisational skills with good attention to detail;
- Ability to manage multiple tasks and prioritise effectively in a fast-paced environment;
- Good communication and interpersonal skills;
- Positive attitude, willingness to learn, and a proactive approach to problem-solving;
- Ability to work collaboratively within a team environment.
