The Reservations Agent is responsible to manage and respond to all communications from guests, travel agents, and corporate clients via mail, telephone, email or through a central reservation system. The reservations agent will create and maintain all reservations and will be responsible for all documentation being confirmations, cancellations and any modifications.Essential Duties and Responsibilities:
- Processes reservations from the sales office
- Knows the type of rooms available as well as their location and layout
- Knows the selling status, rates and benefits of all packages plans
- Creates and maintains reservation records
- Determines room rates based on the selling tactics of the hotel
- Processes cancellations and modifications and relays this information to the front desk
- Understands the hotel's policy on guaranteed reservations and no-shows
- Tracks future room availabilities on the basis of reservations
- Prepares expected arrival list for front office use
- Handles daily correspondence; responds to inquiries and make reservations as needed
- Helps develop room revenue and occupancy forecasts
- Knows the credit policy of the hotel and how to code each reservation
- Makes sure that files are kept up to date
- Communicates reservation information to the front desk
- Open and close the availability as and when required on hotel channels, and on the hotel website
- Promotes goodwill by being courteous, friendly and helpful to guests and managers
- Processes advance deposits on reservations
- Prepares letters of confirmation.
