- Greet and provide general support to visitors when they arrive at the office that includes welcoming them and offering coffee for them and employees if needed.
- Assist other teams with basic administrative tasks٫ such as redirecting calls٫ disseminating correspondence٫ scheduling meetings etc.
- Communicate and implement office policies
- Place orders for corporate gifts for employees in a timely manner, in accordance with the organization's strategy.
- Maintain files and records with effective filing systems.
- Provide financial reports on office management in a timely manner.
- Monitor office supplies inventory and place orders
- Monitor office expenditures and handle all office contracts (rent, service etc.)
- Managing incoming and outgoing correspondence, including emails, faxes, mail and packages
- Coordinate with IT department on all office equipment
- Submit work orders for any repairs or maintenance required for equipment or the office space
- Carry out routine checks to ensure safety and security
- Liaise with facility management vendors, including cleaning, catering and security services
- Monitoring the work of cleaners and making sure that the office is clean at all times.
- Plan in-house or off-site activities, like parties, celebrations and conferences.
- Experience as office coordinator or in a similar role preferred
- Good written and verbal communication skills
- Organizational and time management skills
- Great team player
- Good knowledge of MS Office,Skype and Slack.
