- Perform general office procedures including handling emails, phone calls, ordering supplies, and maintaining filing systems.
- Provide administrative and clerical support to team members.
- Assist with HR-related tasks, including recruitment administration, issuing employment contracts, and maintaining employee records.
- Support Health and Safety procedures by recording checks and co-ordinating maintenance.
- Maintain accurate records for Company equipment.
- Manage and reconcile the department’s petty cash float.
- Coordinate messenger and cleaning tasks, ensuring duties are completed efficiently.
- Welcome visitors and perform reception duties as required, ensuring a positive and professional first impression.
- Assist in the co-ordination of maintenance schedules and liaise with suppliers or contractors as needed and maintain accurate records.
- Contribute to the department’s culture of organisation, collaboration, and continuous improvement
- An Advanced Level standard of education (or equivalent);
- Strong organisational and time-management skills, with the ability to handle multiple priorities;
- Excellent interpersonal and communication skills, and fluency in written and spoken Maltese and English;
- Proficiency in Microsoft Office applications;
- A proactive attitude with a natural sense of responsibility and attention to detail;
- A professional and friendly approach when interacting with colleagues, visitors, and suppliers;
- An ability to maintain confidentiality and handle sensitive information appropriately.
