- Process and manage customer orders accurately within the ERP system or through manual entry where required.
- Oversee stock levels across all warehouse locations, ensuring inventory accuracy and conducting scheduled stock audits (travel to warehouse sites may be required).
- Raise and manage purchase orders with manufacturers and suppliers to ensure timely replenishment of goods and materials.
- Lead commercial discussions with suppliers to secure competitive pricing and favourable terms for raw materials and products.
- Track and manage procurement activities from order placement through to delivery, including monitoring goods in transit.
- Coordinate domestic and international shipments from manufacturers to customers or warehouse facilities.
- Prepare, review and manage all shipping and customs documentation, ensuring full compliance with regulatory requirements and selection of appropriate transport solutions.
- Generate and issue customer invoices in a timely and accurate manner.
- Ensure supplier and manufacturer invoices are reviewed and processed for payment in accordance with agreed payment terms.
- Collaborate closely with the Supply Chain Manager to support operational efficiency and continuous improvement initiatives.
- Liaise with external consultants and service providers on procurement and logistics matters.
- Provide general administrative and operational support as required.
- Experience handling shipping documentation and customs procedures, ideally within an international environment.
- Fluency in both written and spoken English and Maltese
- Demonstrate adequate communication skills and be a team player
- Have sound knowledge of Microsoft Office applications
- Experience in an ERP system is an advantage
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Previous experience in logistics, supply chain, distribution or procurement coordination.
